Web Fee Module

WebFee

The Web Fee and Issuance core module (WebFEE ä) includes all the functionality necessary to issue certified copies of vital event records and calculate, record and collect fees associated with customer service transactions, process refunds and generate invoices.  In addition, WebFEE ä provides features for generating standard reports and extract files of fee related data. WebFEE ä includes the following options:

·        Seamless integration with all of the WebVR ä modules.

  ·        Capability to electronically manage inventory of security paper used for certified copy issuance.

·        Ability to process requests for certified copies.  Includes the capability to print certified copies from the state office and the local registrar offices.

·        Capacity to print certified copies with disclaimers (such as for a delayed registration), notations (such as ‘Deceased' on a birth record when the registrant has died), amendment history and electronic State Registrar's signature.

·        Ability to print certified copies of vital event records on security paper.  Capability to print non-certified copies of vital event records on plain paper.

·        Capability to print a Search Letter indicating that the record requested cannot be found.

·        Capacity to issue a certified copy from microfilm or photocopy and still track the issuance history and fees associated with the transaction.

·        Potential to print a bar code or security key on certified copies to deter fraudulent activity.

·        Ability to enter data related to the certified copy request, including registrant and requestor information, number of and type of copies requested, type of request (mail, walk-in, electronic, phone) and payment information.

·        Capability to enter the requestor's reason for requesting a certified copy along with the requestor's relationship to the registrant to ensure records are issued to authorized requestors.

·        Capability to provide work queues for processing customer service requests.

·        Tracking of complete issuance history of all certified copies issued.

·        Capacity to collect fees associated customer service transactions other than certificate issuance. Examples include, but are not limited to, fees associated with processing paternity affidavits, amendments, search letters, and rush fees.

·        Ability for the state to maintain the fees charged for each customer service transaction. 

·        Automatic calculation of fees due based on customer service transaction performed.  Recording of payment information for customer service transactions, including method of payment and payee information.  Allows multiple payment methods for the same fee transaction.

·        Printing of receipts.

·        Capability to bill the requestor for the fee transaction.  Generation of invoices and the capability for the state to record invoices paid.

·        Processing and tracking of refunds.

·        Reconciliation between revenue collected and customer service transactions performed.

·        Running the end-of-day and end-of-period accounting procedures. These procedures include the generation of standard reports not limited to the following: End of Day Summary, Transaction Summary by Date Range and Location, Transaction Summary by Customer Service Transaction, Transaction Detail, Unresolved Requests and Security Paper Shipping Log.
